Picture Coordinatos Guidlines
Please note: We are  not the photography company so these guidelines are just general guidelines that apply to the field of sports photography.

Guideline #1:
PASS OUT ORDER INFORMATION IN ADVANCE
You should get your picture order envelopes 3 weeks in advance unless you request them sooner. It is imperative that you insure they are distributed to the teams at least 1-2 weeks in advance. The photographer should have extras if parents lose them.

Guideline #2:
DEVELOPE A SCHEDUALE
Develop a schedule and give each team a set time and build in open slots throughout the day OR if your photographer is doing the schedule make sure they have game schedules and team names to work with.  Generally, do not give teams the same time at set intervals and try to build in open time slots so that teams that need to change times have a slot open to move to.  Avoid bunch ups by giving each team a unique time.

How much time should you allow each team depends on what you work out with your photography company, the size of your league, and the time you have available. Discuss your schedule in advance with your photographer to insure adequate staffing.

DO NOT do a schedule that gives several teams the same time slot as this causes “bunch ups”.  It is easier to do one team every 5 minutes than 3 teams every 15 minutes regardless of the number of photographers. This schedule 3 teams every 15 minutes does the same number of teams every hour as the 5 minute interval schedule but causes bunch ups.

EACH TEAM HAS A UNIQUE TIME
Example based on 5 minute interval
8:00 Marlins
8:05 Blue Jays
8:10 Dodgers
8:15 Mets
8:20 Yankees
8:25 Twins
8:20 open

NOT THIS WAY
This schedule 3 teams every 15 minutes does the same number of teams every hour as the 5 minute interval schedule but causes bunch ups. 8:00 Marlins, Blue Jays, Dodgers 8:15 Mets, Yankees, Twins.

Guideline #3:
GIVE THE PHOTOGRAPHER A MAP & PLACE TO SET UP
Let your photographer know the directions to the park or facility and agree on where to meet to set up.  If your park is very large, it can cause a big delay if the photographer sets up in the wrong area of the park and has to move.  Talk about where exactly they should set up based on the traffic flow.

Guideline #4:
TRADE CELL PHONE NUMBERS
Photo Day is a big event for many leagues.  Nothing can ruin the event quicker than someone with a needed key showing up late (i.e. to unlock a Gym) and getting the photographers off to a late start.  Make sure everybody has everybody else’s cell numbers in case there is a glitch or someone is running late.

Guideline #5:
PASS OUT PHOTOS AS SOON AS YOU GET THEM
Let every parent know about this website where most orders can be taken care of using our customer service form or in some cases by calling our staff during operating hours. If you need a retake or make-up day, let your photographer know.  Please do not hold on to orders, this causes many parents concern and they often get upset at the photographer as they will think the photography company has delayed delivery.  Please pass out orders asap and let coaches or other administrators know it is important to pass them out rapidly.
